What we collect and why
For website enquiries, we use the contact details and information you provide to reply and discuss the support you request. The AI Control Snapshot is delivered using an embedded Tally form. It asks for your organisation size, sector and answers to eight questions about AI use and controls. Your answers are used to display an immediate control-gap indication and relevant observations. The form does not ask for contact details, and you can see your result without providing them. If you submit the form, your responses are sent through Tally. If you choose to enquire by email, we use the information you include to respond.
For governance interviews, we use contact details to arrange participation and interview notes to understand AI adoption and governance needs. Participation is voluntary. Any recording or attributed quotation requires your separate agreement. Please avoid sharing sensitive information or identifiable client, customer or employee data.
Our lawful bases
We rely on legitimate interests to answer enquiries, administer the Snapshot and understand demand for practical AI governance support, balancing these interests against your rights. Where you request a service, we may also process information to take steps before entering a contract or to deliver that contract. Voluntary interview participation, recordings and attributed quotations are based on consent; you may withdraw consent at any time without affecting earlier lawful use.
Who can access information
Authorised people working for Berrymoon Ltd and service providers needed to operate the website, email and governance services may process information for these purposes. Squarespace hosts this website and processes technical information such as IP addresses, browser details and pages visited. Information may also be disclosed where legally required. We do not sell your personal information.
Where a provider processes information outside the UK, applicable UK transfer safeguards must be in place, such as adequacy regulations or approved contractual protections. How long we keep it
We keep identifiable information only while needed to answer your enquiry, provide the requested diagnostic or support, or complete and check governance work. Retention takes account of ongoing correspondence, consent, contractual responsibilities and any legal record-keeping requirements. We review information and delete or anonymise it when it is no longer needed. Findings may be retained in a form that does not identify participants.
Your choices and rights
Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information, and object to processing based on legitimate interests. You can withdraw consent by emailing us. Providing information is optional. The Snapshot requires answers to its questions to calculate a result, but does not require contact details. We may be unable to respond to an enquiry without relevant contact information. We do not use your information for solely automated decisions with legal or similarly significant effects.
You can raise a concern with us or complain to the Information Commissioner’s Office (ICO).

Any non-essential cookies requiring consent will be used only after that consent is obtained. This notice will be updated before new forms, providers or uses of personal information are introduced.
